Employee certification tracking guide
Build a dependable employee certification record with clear ownership, supporting evidence, and visible renewal status.
An employee certification tracker should show who completed training, what the record covers, when it was issued, whether it expires, who supplied or evaluated the training, and where the supporting evidence can be found. The useful outcome is not a longer list; it is a record another authorized person can understand and verify.
Start with the requirement that applies
Training and documentation requirements depend on the work, hazard, jurisdiction, and standard involved. For one concrete example, OSHA's powered industrial truck rule says the employer must certify that each operator has been trained and evaluated, and that the certification include the operator's name, the training date, the evaluation date, and the identity of the person performing the training or evaluation. Review the official OSHA powered industrial truck standard, especially paragraph 1910.178(l)(6), rather than treating that example as a universal field list.
A practical record structure
For each employee certification or training record, decide which of these fields your process needs:
- Employee and employer record owner
- Certification or training type
- Issue or completion date
- Expiration or renewal date, when applicable
- Trainer, evaluator, or provider information
- Status such as current, expiring, or expired
- Supporting certificate, card, roster, or other document
- Notes needed to explain an exception or follow-up
The governing source should decide the required fields and retention period. Your internal record can include additional operational fields that make follow-up easier.
Use one repeatable workflow
- Add the employee and choose the relevant certification type.
- Enter the issue and expiration details supported by the source document.
- Upload and link the certificate or training evidence to that record.
- Review current, expiring, and expired status on a regular schedule.
- Replace or supplement the record after renewal while retaining the history your policy requires.

Quality-check the record
