THE TOOLS BEHIND A CLEARER WORKING DAY

Your equipment. Its people. Its paperwork.

Keep the details of your machines together with the people and documents connected to them. Compliance Hub’s Equipment module gives small employers one place to organize owned, rented, and leased equipment—from a forklift in the yard to a generator on site. Included with Pro and Enterprise.

Give every machine a record of its own

Add an equipment name, type, manufacturer, model, serial number, and asset number. Record whether it is owned, rented, or leased, add a profile photo, and keep useful notes alongside the details. Search your register when you need to find a particular machine.

Know where it belongs and who to ask

Record the equipment’s current location and connect employees as the responsible person, assigned operator, or maintenance contact. When someone has a question about a machine, the record helps them find the right person.

These associations record responsibilities. They do not verify training or authorize someone to operate equipment. Keep the employee’s training and certification records up to date alongside the equipment information.

Keep the paperwork with the equipment

Upload supporting files or link documents already in your library. Keep manuals, inspection reports, service records, and rental paperwork connected to the machine they belong to, so your team can find the right file without searching through separate folders.

Bring the details into a PDF report

Download an equipment summary with its photo, identifying details, current location, associated employees, notes, document inventory, and recent activity. Use it for an internal review or a handover. Supporting files are downloaded separately; the PDF lists them rather than embedding their contents.

Keep the history when equipment leaves active use

Mark equipment inactive when it is no longer part of your active register. Its documents, photo, and employee associations stay with the record. Filter your list by active or inactive equipment, and reactivate a record when you need it again.

Questions about Equipment

Which plans include Equipment?

Pro and Enterprise include equipment management, supporting documents, photos, and PDF reports. Compare plans to choose the right fit for your team.

Can I track rented or leased machines?

Yes. Each equipment record can be marked owned, rented, or leased. You can attach the relevant rental or lease paperwork to that record.

Does it schedule maintenance or run inspections?

The current module organizes equipment details and supporting records. You can store completed inspection reports and service documents. Maintenance scheduling and inspection checklists are not included.

Is the location tracked automatically?

You select and update the equipment’s current location. This is a recorded location, not live GPS tracking.
