Choose a spreadsheet for a small, simple register or dedicated software when dates, evidence, access, and follow-up become difficult to control together.
A spreadsheet can work for a small, stable certification list with one careful owner. Dedicated software becomes useful when several people update records, supporting documents live elsewhere, expiration follow-up is inconsistent, or managers need current status and evidence without interpreting formulas.
The requirement does not change with the tool
Neither a spreadsheet nor software decides which training is required. When a spreadsheet may be enough
A spreadsheet is often reasonable when:
- The employee and certification count is small
- One person owns all updates
- Few record types have expiration dates
- Supporting evidence has a consistent, separately controlled location
- Manual calendar review is reliable
- Access and change history are not difficult to manage
If you use one, protect the original, restrict editing, define every column, validate dates, avoid hidden formulas, and document who reviews upcoming expirations.
Where spreadsheets become fragile
The register can drift from the evidence when certificates are stored in email or folders. Copies can disagree. Sorting may hide rows. Formulas can be overwritten. A reminder column still depends on someone opening the file and acting. Those are workflow risks, not proof that every spreadsheet is inadequate.

- Who needs attention now?
- Which source document supports this status?
- Who owns the renewal action?
- Which version of the register is current?
- Can the right people review the record without exposing it broadly?
- Can we produce a useful snapshot without rebuilding the data?
If the answers depend on one person's memory or several disconnected files, software may reduce operational friction. If the process is small and controlled, improving the spreadsheet may be the proportionate choice.
